How RackHut works

A plain guide to everything the app does, where to find it, and how to use it. Written for a Vinted seller, not a programmer. The words in bold are the exact words you'll see on screen.

The idea in one minute

RackHut is a notebook for your shop that keeps itself up to date. It knows what you've got, which bag it's in, what has sold, and what you actually made after what you paid for it and what it cost to send.

It lives on your iPhone. There's no account and no sign-up. It never logs into Vinted and never touches your listings. Nothing you put in it is uploaded anywhere.

The bar along the bottom has four tabs and an orange button:

• Items: everything you've got, with a search bar at the top.
• Pile: things you haven't listed yet, oldest first.
• ＋ (the orange button in the middle): add something new.
• Money: what you've made this month and all time, plus the tax bits.
• More: your bags and boxes, your data and backups, and preferences.

1. Getting your stuff in

There are three ways, and you can use more than one.

Bring your whole Vinted shop in (listings, photos and every sale)

Vinted will give you a copy of your own data if you ask for it. RackHut reads that file, on your phone. Nothing connects to your account.

1. In the Vinted app, tap your profile, then Settings.
2. Open Privacy settings, then Manage account data.
3. Tap Request data, and confirm it from the email Vinted sends you.
4. When the email with the download link arrives (usually within the hour, though Vinted says it can take up to 30 days), open the link and choose Save to Files. It's a big file, so do this on Wi-Fi.
5. In RackHut: More → Your data → Bring my shop in → The file Vinted sends you → Choose the file, and pick it from Files.

RackHut then shows you what it found under Is this your shop?: how many listings, how many sales, how many photos, and what it's leaving out (cancelled orders, things you bought). Choose One photo each (quick) or All of them (slower), then tap Bring it in.

Every listing arrives with its photo. Things that had sold arrive as sold. Vinted's own yearly income reports come in too, ready for the Money tab.

Two things to know:

• Costs aren't in Vinted's file, so RackHut asks you what things cost as they sell. You can add them any time.
• Photos carry on arriving in the background. If it stops partway, More → Finish bringing in your photos picks up where it left off.

If you bring the same file in twice, RackHut notices and offers to undo the first one rather than doubling everything.

Bring a spreadsheet in

Been tracking in Excel, Numbers or Google Sheets? More → Your data → Bring my shop in → A spreadsheet → Pick a file, or paste a Google Sheets link (the sheet needs to be shared with anyone who has the link).

RackHut reads the columns the way you would and shows you your shop before anything changes. If it has read a column wrong, tap it and tell it what that column is. Then tap Looks right — bring it in.

It can't fail halfway: it either all lands or none of it does. Rows it wasn't sure about (a totals row, a blank line) are held back for you to look at, never thrown away.

Add things one at a time

See the next section. This is what you'll do day to day.

Coming from another phone

More → Your data → Restore from iCloud (both phones signed into the same iCloud), or Restore from a file if you have an export. On a brand-new install RackHut looks for backups itself and offers the restore.

2. Adding one thing

1. Tap ＋. The camera opens. Take photo, or Camera roll for one you've already got, or No photo and just give it a name.
2. Name it. Anything you'd search for later works: "Zara linen shirt M".
3. Cost: what you paid for it. Leave it blank if you don't know yet. RackHut asks later under Fill in what they cost, where £0 — it was mine covers your own wardrobe.
4. List price: what you're asking.
5. Where does it live? Pick a bag, box or rail, or tap New and use your own words: "Bag 3", "Top shelf", "Hallway rail".
6. Listed on: Vinted, eBay, Depop, Facebook, Etsy, or Your own (Instagram, a car boot).
7. Save · listed if it's already up, or Save to pile if it isn't yet. Save + another keeps going for a haul and remembers the place and the channel for the next one.

Ten seconds an item once you're in the swing of it.

3. The Pile

The Pile tab is everything you haven't listed yet, oldest first, so the thing that's been waiting longest is at the top. The number on the tab is how many are waiting.

When something goes up on Vinted, tap Mark listed on its row. Clear the pile completely and you get a card for it. It's allowed to feel good.

4. When something sells: the screenshot trick

This is the part worth learning. Instead of typing the sale in, you take a screenshot of the order and RackHut reads it.

1. In the Vinted app, open the order itself. Not the list of orders, not your balance: the page for that one order.
2. Take a screenshot (press the side button and the volume-up button together).
3. In RackHut, open the item, tap Mark sold, then Scan a screenshot, and pick the screenshot you just took.
4. RackHut fills in the price (what the buyer paid you), the date, and the send-by deadline. Each one is labelled from your screenshot. Check them.
5. Tap Done. You get a receipt: sold for, what it cost you, what it cost to send, and your profit in green.

Even quicker: in Photos, share the screenshot to RackHut (the share button, then RackHut). RackHut says Looks like a sale and asks Which one sold? Pick the item, or Add it as a new item if it was never in the app.

Bundles: if the order has several things in it, RackHut says "That's a bundle of 3. Pick what went in it." Tick the items. It's one sale with a line for each item, and How it splits shows how the money is shared out. Split again if you'd rather split it differently.

Where the screenshot goes: nowhere. It's read on your phone and it goes as soon as you've said which item sold. The only way it stays is if you tap Keep as photo to use it as the item's picture.

If it can't read it: you'll see "Couldn't find a sale on this screen." Usually that means you screenshotted the orders list or your balance instead of the order itself. Open the order and try again, or tap Mark sold by hand. Cancelled and suspended orders are never marked sold.

Open the item, tap Mark sold, type what the buyer paid you (buyer protection is the buyer's, so don't include it), pick where it sold under Sold on, check the date under Counts towards (this is the date it lands in for tax), and tap Done.

Two or more sold together

On Items, tap Select, tick the items, then Sell together. One sale, one receipt, a line for each.

After a sale

• If the item was also listed on eBay or Depop, RackHut reminds you: "Still on eBay — remember to take them down." Tick each one as you do it.
• Share it on the receipt makes a card for Instagram or your story: square or story shape, with or without the RackHut name, profit shown or hidden.
• The pile count, the month's profit and the annual figures all update themselves.

5. Sending it

Whenever something is waiting to go, a To ship row appears at the top of Items. Tap it.

• Everything waiting is grouped by the bag or box it lives in, with the send by deadline on each one, so you can walk round the room once.
• Scan this bag opens the scanner if you've put a label on the bag.
• Add postage records what the label cost. For a bundle it's for the whole order.
• Tick the circle when it's gone. That's Mark sent. Tap Undo if you mis-tapped.
• If the item was on other sites, Delist on eBay is right there.

When the last one's ticked: "Run's done. 3 out the door."

6. Finding things

Search. The bar at the top of Items. Type any words in any order: "blue river island" finds the same as "river island blue". Results are grouped by status.

Filters. The chips All / Not listed / Listed / Sold / Shipped, and the filter button (three lines, top right) for Where it lives, Listed on, and Gaps (things missing a price or a cost).

Places. Every bag, box, shelf and rail is a place. More → Where things live → All your places to add or rename them. Sort your stock walks you through anything without a home, one bag at a time: "Which bag, box or rail are you filling?"

QR labels. More → Print label sheet (part of Pro) makes an A4 sheet of twelve labels, one per place. Cut them out, stick one on each bag. Then Scan a label (free, always), point the camera at the square, and RackHut opens that bag with everything inside it. If the camera's playing up, Type the code printed on the label. Your iPhone's normal camera opens them too.

Siri. Say "Where is my Ralph Lauren polo in RackHut" and Siri answers with the bag, without opening the app. "Mark my denim jacket sold in RackHut" works too.

Swipe down to search. Swipe down on your home screen and type an item's name: it comes up with its place, before you've opened RackHut. Titles and places only, never prices. Switch it on or off under More → Preferences → Show my items in iPhone search.

One press to add. If your iPhone has an Action Button, or with Back Tap (double-tap the back of the phone), one press opens RackHut's camera ready to add. More → Find things faster walks you through setting each of these up.

7. Money

The Money tab answers "how am I doing?".

• Known profit for this month at the top. Profit means what the buyer paid, minus what the item cost you, minus postage and packaging.
• If a sale isn't in that figure, RackHut says so and why: "2 sales aren't in this figure — nobody has said what they cost." Tap Add the costs and it fixes itself.
• Three tiles: Listed, In pile, Sold this month. Then All time.
• A line about the trading allowance: "Gross trading income this tax year: £259 — under the £1,000 trading allowance."
• Tax year → See summary (part of Pro): the HMRC year (6 April to 5 April), gross trading income, item costs, expenses, what's left after costs, and the calendar-year sales count that platforms report. Sales file for your accountant shares a spreadsheet of every sale with its costs and the year it belongs to.
• Expenses: mailers, postage, storage, anything you spend that isn't the item itself. Add expense, say what it was, how much, when.
• Vinted's own report: once your Vinted file is in, this puts Vinted's yearly figure next to yours, shows which sales match, and lists anything Vinted reports that you haven't recorded, with Record it beside each. Anything you've recorded that Vinted hasn't is usually a sale the buyer hasn't accepted yet: Vinted counts a sale on the day the buyer accepts it.
• At the end of each month you get a wrap: "September, wrapped. Best month yet." with the numbers and Share it. At the end of the year, Your 2026 with Share your year.

Set your Usual packaging cost (say 40p a mailer) under More → Preferences and it's counted against every sale automatically, unless a sale has its own.

RackHut keeps records. It isn't tax advice. It gives you the figures your accountant asks for, labelled in plain words.

8. Mistakes, returns and undo

• Something happened? at the bottom of a sold item: Undo — it wasn't sold, Buyer returned it, or Partial refund — they kept it. RackHut shows what it does to your figures before you confirm.
• Not shipped after all on something you ticked by mistake.
• Back to the pile for something you've taken down.
• Archive for something that's gone but wasn't sold (donated, binned). It leaves your lists but stays in your history.
• Edit on any item: title, cost, list price, place, packaging, promo spend, notes, photo.
• Undo a whole import: More → Your data → Past imports → Undo. It removes everything that import created and nothing you've done since. Best done straight away, before you record new sales against those items.

9. Keeping it safe

• More → Your data → iCloud backup: Last backed up, Back up now, and Back up automatically. Backups go to your own iCloud Drive, in your Apple account. Free. We can't see them.
• New phone: install RackHut, sign into the same iCloud, and use Restore from iCloud. Items, photos, sales, the lot.
• Export everything: one file with a spreadsheet of everything plus your photos. Yours to keep, any time, free, and it opens anywhere.

10. Preferences

Under More → Preferences:

• Usual packaging: counted against every sale that hasn't got its own. Empty means unknown, not zero.
• Stale after: how long before a listing gets a gentle nudge that it's been up a while.
• Celebrations and Haptics: the fuss and the buzz. Receipts always show what you made either way.
• Offer to make share cards: whether RackHut suggests a card after a good moment.
• Show my items in iPhone search: see Finding things above.
• Currency: set from where you are, locked once you record your first sale.

11. Free and Pro

Free is the whole app for a shop of up to 25 active items. Active means in the pile or listed; sold and shipped things never count, so a busy shop stays under it longer than you'd think.

Pro removes the cap and adds printing label sheets, the tax summary and the accountant file. £3.99 a month, £29.99 a year, or £59.99 once and never again. You'll see it offered when you hit the cap, on the tax card, or on Print label sheet. Restore purchases is on the same screen if you change phones.

If Pro ever lapses, nothing you have is locked: your items, your figures, your backups and your export all keep working.

12. What RackHut never does

• It never logs into Vinted, never talks to Vinted, and never lists, relists or takes anything down for you. It reads a screenshot you took and a file Vinted gave you. That's it.
• It never uploads your stock, your sales or your photos anywhere. There's nothing to upload to.
• It isn't tax advice.
